Workflow Automation Expert for Real Estate Appraisal Business (CRM Integration & Process Automation)

We are a growing real estate appraisal business looking for an experienced freelancer to design and implement an automated workflow system to streamline our operations. Our current process involves manual handling of appraisal orders from receipt to completion, including scheduling inspections, updating clients on status, and managing follow-ups. We want to automate as much as possible to save time, reduce errors, and improve client satisfaction. Key Goals: Automate the end-to-end appraisal workflow: From when a new order comes in (via email, form, or portal) → assigning/scheduling inspection → progress updates → report completion → invoicing and delivery. Incorporate automated client communications: Send status updates (e.g., "Order received", "Inspection scheduled for [date]", "Report in progress", "Report delivered") via email/SMS at key milestones. Integrate or set up a suitable CRM to track clients, orders, properties, deadlines, and communications in one central place. Ensure the system is scalable, user-friendly (for a small team), and secure. Current Setup (to be improved): Orders arrive primarily via email or simple forms. We use basic tools like email, calendars, spreadsheets, and possibly some appraisal-specific software. No dedicated CRM yet – open to recommendations. What We're Looking For in the Solution: Recommendation and implementation of a CRM tailored for real estate/appraisal workflows (e.g., something with pipeline stages for orders, task automation, and client portals if possible). Use of no-code/low-code tools like Zapier, Make.com, n8n, Airtable, or similar for automations. Integrations with common tools: Email (Gmail/Outlook), Google Calendar/Microsoft Calendar for scheduling, possibly Twilio for SMS updates, and any existing appraisal software. Custom dashboards or views to track active orders, upcoming inspections, and overdue tasks. Automated reminders for internal team (e.g., inspection due soon) and clients. Project Deliverables: Detailed workflow map of the new automated process. Fully set up and tested CRM with custom fields/pipelines for appraisal orders. Automated triggers and notifications (email/SMS templates). Training/handover session (recorded video or live call) on how to use and maintain the system. Documentation for future tweaks. Required Skills & Experience: Proven experience in business process automation (please share examples/portfolio of similar projects, especially in real estate, service-based businesses, or workflow-heavy industries). Expertise with CRMs (e.g., HubSpot, Zoho, Pipedrive, Follow Up Boss, or appraisal-specific like Anow/Reggora if applicable). Strong knowledge of automation tools (Zapier, Make.com, n8n, Microsoft Power Automate). Ability to recommend and implement the best tools based on our needs (budget-conscious for a small business). Excellent communication – we'll need to discuss our exact process in detail. Bonus: Experience in real estate appraisal workflows or similar (lenders, inspections, client updates). Project Type: Fixed-price preferred (please propose milestones), or hourly if scope evolves. Estimated 20-40 hours.
