Job Title: Remote Administrative & Project Coordinator (100% Work From Home)
Location: Remote from Latin America
Position Type: Full-time
Salary: $2,750 USD/month
Schedule: Monday to Friday, 8:00am to 5:00pm or 9:00am to 6:00pm Central Time

Job Overview:
We?re seeking a dedicated and organized Administrative and Project Coordinator to support our client's team with essential administrative and project management functions. This role is a perfect blend of calendar management, travel coordination, and light logistics, alongside small-scale project oversight. As an integral part of the team, you?ll ensure seamless operations, effective client communication, and efficient coordination of ongoing projects.
Responsibilities:
Administrative Support (50%)
? Calendar Management: Coordinate and manage executive and team schedules, ensure timely scheduling of meetings, and handle any calendar conflicts
? Travel Coordination: Organize travel logistics, including booking flights, hotels, and transportation, while optimizing travel schedules for maximum efficiency
? Gift Coordination: Manage gifting for clients and team members, selecting meaningful gifts for occasions and ensuring timely delivery
? Light Logistics Support: Assist with event logistics, including booking conference spaces, coordinating vendors, and preparing event materials as needed
Project Management (50%)
? Project Coordination: Oversee timelines for multiple projects, ensuring tasks are assigned, tracked, and completed on time. Maintain project documents and client communications.
? Meeting Preparation and Follow-up: Prepare meeting agendas, compile materials, and track follow-up actions to maintain alignment across projects.
? Process Improvement: Identify and recommend workflow optimizations to streamline administrative and project processes.
? Client Liaison: Act as a point of contact for project updates, document client feedback, and facilitate effective communication with stakeholders.
Qualifications, Skills, and Key Competencies:
? Bachelor?s Degree in Marketing, Communications, Education, or a related field
? 3+ years in an administrative or project management role, ideally supporting multiple projects or clients
? Proficiency in project management tools (e.g., Monday.com or similar), calendar and scheduling software, and collaboration tools
? Exceptional organizational skills, attention to detail, and proactive problem-solving ability, with a client-centered approach
