Our Adult Detox and Crisis Recovery Unit is a 14-bed facility that provides non-medical support to those in need, 24 hours a day, 7 days a week. As a key member of our support team, the Part-Time Data Entry Clerk / Administrative Assistant will play a vital role in ensuring the smooth operation of our facility. **Job Summary:** We're seeking an experienced and highly organized individual to join our team as a Part-Time Data Entry Clerk / Administrative Assistant. This role will provide administrative support to our Adult Detox and Crisis Recovery Unit, working closely with our staff to ensure the efficient processing of tasks, reports, and financial transactions. As a remote worker, you'll have the flexibility to work from home while still being an integral part of our team. **Key Responsibilities:** As a Part-Time Data Entry Clerk / Administrative Assistant, you'll be responsible for the following tasks: * **Data Management:** Utilize spreadsheets or databases to organize information and produce standard reports, ensuring accurate and timely data entry. * **Financial Transactions:** Prepare complex disbursement forms, reconcile ledgers, and gather data for budget preparation. Reconcile daily receipts or accounts receivable/payable, identifying discrepancies and making corrections as needed. * **Accounting and Purchasing:** Set up accounts, reconcile ledgers, and gather data for use by others in preparing budget. Prepare a wide variety of accounting forms, including expense vouchers and invoices. * **Administrative Support:** Greet visitors, maintain and administer safety procedures in secured environments, and provide back-up support during high-volume periods for phone screenings, referrals, and other duties as needed. * **Payroll Processing:** Verify timesheets, research and resolve payroll discrepancies, complete and verify data entry, distribute paychecks, and maintain attendance and leave tracking records. * **Communication and Training:** Compose routine correspondence on behalf of management, train new employees, and provide relevant policies and procedures. Coordinate audio-visual and training equipment, and type complex documents of a technical nature. **Essential Qualifications:** * High school diploma or equivalent required; Associate's Degree in Business Administration or related field preferred. * Two years of administrative support experience required; experience can substitute for education, and education can substitute for experience. * Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines. * Proficiency in multiple software applications, including Microsoft Office and Google Suite. * Excellent communication and interpersonal skills, with the ability to work effectively with staff, management, and external stakeholders. **Preferred Qualifications:** * Experience working in a healthcare or social services setting. * Knowledge of accounting principles and financial software applications. * Familiarity with payroll processing and attendance tracking systems. * Certification in administrative support or a related field. **Skills and Competencies:** * Strong analytical and problem-solving skills, with the ability to identify and resolve discrepancies. * Excellent attention to detail and accuracy, with the ability to maintain confidentiality and handle sensitive information. * Strong communication and interpersonal skills, with the ability to work effectively with diverse stakeholders. * Ability to work independently and as part of a team, with a strong commitment to customer service and support. * Proficiency in multiple software applications, including Microsoft Office and Google Suite. **Career Growth Opportunities and Learning Benefits:** At arenaflex, we're committed to providing our employees with opportunities for growth and development.
