We are now seeking an experienced Executive Assistant and Philanthropy Co-ordinator to join our team and provide high-level support to our senior leaders. Job Overview As an Executive Assistant and Philanthropy Co-ordinator, you will be responsible for providing administrative support to our Development & Alumni leadership team, managing busy diaries, co-ordinating complex schedules, and ensuring the smooth running of the office. You will be a key point of contact for internal and external stakeholders, using your excellent communication skills to manage relationships and prioritize the Director's time effectively. Your ability to handle competing priorities with confidence and professionalism will be vital in this role. Key Responsibilities Provide high-level administrative support to the Development & Alumni leadership team, including managing diaries, co-ordinating schedules, and making travel arrangements Act as a key point of contact for internal and external stakeholders, including alumni, donors, and other university departments Use your excellent communication skills to manage relationships, prioritize tasks, and ensure effective communication between team members and stakeholders Support the Director of Development & Alumni and the Philanthropy team in cultivating relationships with major donors and prospects Help plan and deliver high-impact meetings, events, and initiatives that increase the likelihood of future support Use your organizational skills and smart thinking to ensure donor-funded projects are delivered successfully Provide administrative support for fundraising campaigns, events, and other development activities Collaborate with other teams, including Marketing, Communications, and Events, to ensure a cohesive approach to alumni and donor engagement Essential Qualifications and Skills To be successful in this role, you will need to have: Proven experience providing executive-level administrative support, preferably in a higher education or non-profit setting Excellent communication, interpersonal, and organizational skills Ability to manage complex stakeholder relationships and prioritize tasks effectively Strong attention to detail, discretion, and ability to maintain confidentiality Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint Ability to work in a fast-paced environment, juggling multiple tasks and deadlines Strong problem-solving skills and ability to think critically and creatively Preferred Qualifications and Skills While not essential, the following qualifications and skills would be desirable: Experience working in a philanthropy or development team, preferably in a higher education setting Knowledge of fundraising principles, practices, and techniques Experience with donor database management and CRM systems Event planning and management experience Strong understanding of the higher education sector and its stakeholders Career Growth Opportunities and Learning Benefits At Birkbeck, University of London, we are committed to the development and growth of our staff.
