Category: Health Care Location: Virtual Operations Assistant Job Type: Part-time, 30 hours per week (may turn to full time based on performance) VA Rate - $7-8 AUD per hour (negotiable based on Subject matter expert level) Job Title: Operations Assistant (Service Management)Reports To: Operations Manager Role Overview:The Operations Assistant (Service Management) plays a pivotal role in supporting the General Manager by ensuring operational efficiency, compliance, and effective coordination across the organization. This role involves attending meetings, managing compliance tasks, liaising with staff and clients, and ensuring the smooth execution of organizational activities. The ideal candidate will possess strong communication skills, a background in nursing or healthcare, and experience in operational or administrative roles. Key Responsibilities:1. Operational Support:○ Assist the General Manager in coordinating and monitoring organizational activities. ○ Act as a point of contact for staff to ensure tasks are completed correctly and on time. ○ Ensure compliance with organizational policies and procedures. 2. Client and Staff Coordination:○ Communicate with house staff and clients to ensure updates, reports, and compliance requirements are met. ○ Follow up on client concerns, prepare documentation, and provide timely updates. 3. Meeting Representation:○ Attend care team and client meetings on behalf of the General Manager when required. ○ Prepare and present client updates, ensuring accurate and comprehensive communication. 4. Documentation and Reporting:○ Compile and maintain documentation related to compliance, client updates, and meeting outcomes. ○ Submit detailed reports to the General Manager for review. 5. Communication:○ Serve as the primary liaison between the General Manager and other organizational stakeholders. ○ Ensure clear and professional communication in all interactions. 6. Training and Support:○ Undergo training to understand organizational systems, client requirements, and operational workflows. ○ Support staff transition and continuity by ensuring smooth handovers and maintaining institutional knowledge. Requirements HIRING CONSIDERATIONS : • 1-2 yrs Proven experience in operations, compliance, or administrative roles, preferably within a healthcare setting. • Former High level Executive VA Admin (or GVA with NDIS/Healthcare compliance SME experience) may be considered Qualifications:● Education: Bachelor's degree or equivalent experience in nursing, healthcare management, business administration, or a related field. ● Experience: Proven experience in operations, compliance, or administrative roles, preferably within a healthcare setting. ● Skills: ○ Excellent verbal and written communication skills. ○ Strong organizational and multitasking abilities. ○ Proficiency in using communication tools (e.g., WhatsApp) and office software. ○ Ability to confidently represent the organization in meetings and discussions. ● Preferred: ○ Background in nursing or healthcare. ○ Experience with compliance management and client relations.
